The Operations & Office Manager will help lead the daily rhythm of the agency.

This role is designed for someone who can manage details, improve processes, support team accountability, and help create structure as the agency grows.

The right person will be comfortable wearing multiple hats, solving problems, improving systems, and keeping the office moving in the right direction.

This is an important leadership support role. The goal is to help the agency operate with consistency, professionalism, and excellence.

Responsibilities

The Operations & Office Manager will be responsible for:

  • Managing daily office workflow and task coordination
  • Supporting agency leadership with operational planning and execution
  • Helping build, document, and improve agency processes
  • Monitoring follow-up, service tasks, and internal deadlines
  • Supporting team accountability and communication
  • Assisting with onboarding and training new team members
  • Helping manage carrier paperwork, appointments, licensing, and compliance-related tasks
  • Overseeing administrative systems and office organization
  • Helping ensure client service standards are being followed
  • Supporting CRM and agency management system consistency
  • Preparing reports related to sales activity, pipeline, retention, and office workflow
  • Helping create a positive, professional, and productive office environment
  • Acting as a key point of contact for internal operations and problem-solving

Preferred Qualifications

  • Previous office management, operations, insurance, banking, financial services, or professional office experience preferred
  • Property & Casualty insurance license preferred, or willingness to obtain
  • Experience with CRM systems, task management systems, Microsoft Office, Teams, or agency management software is a plus
  • Strong communication and organizational skills
  • Ability to handle confidential client and business information professionally
  • Leadership or team coordination experience preferred

Preferred Education

A college degree is strongly encouraged, especially in business administration, management, operations, communications, finance, risk management, insurance, or a related field.

Candidates without a degree may still be considered if they have strong office management, operations, leadership, or professional administrative experience.

Schedule and Location

This is an in-office position based in Clayton, NC.

Regular schedule is Monday through Friday during normal business hours.

This is not a remote position.

Compensation

Compensation will be based on experience, licensing, leadership ability, and role fit.

This position may be hourly or salary depending on experience and final role structure.
